Warranty Work

Mark warranty concerns and print claim paperwork.
Included in: Every plan

MarineOps handles warranty and insurance work job by job: who's paying, whether they've authorized it, what they approved, and what happens to any difference. Customer-pay and warranty jobs can live on the same repair order and be billed on separate invoices.

Mark who pays for each job

On each concern, set who pays: Customer, Ext Warranty (extended service contract), Mfr Warranty, Insurance or Internal.

Ask for authorization

Write up the jobs with labor and parts, then use Email Warranty Company on the RO. Enter the warranty company's email; they receive your estimate with a request for pre-authorization of the listed repairs.

Record their answer

Each warranty or insurance job shows buttons for the decision:

  • Approve — authorized as written.
  • Partial — they approved less than the estimate.
  • Deny — not covered.
  • To customer — switch the job to customer pay.
  • Drop job — take it off.

Warranty and insurance jobs can't be invoiced until each has a decision, so nothing gets billed to the wrong party. Approved warranty jobs also go on Parts to Order.

Shortfalls

When a company approves less than the estimate, the difference is the shortfall. Choose how your shop handles it under Settings → Shop Config → Warranty / Insurance Shortfall Handling:

  • Ask me each time
  • Shop absorbs the difference
  • Bill the difference to the customer — a customer-pay line is added for the gap automatically.

Your shop's own warranty

Put your shop's warranty terms in Settings → Shop Config → Shop Warranty Policy. It can fill in automatically on new ROs and print at the bottom of estimates and invoices.
